POSITION SUMMARY

The Executive Assistant is an essential position, ensuring that the organization’s senior leadership is able to realize an ambitious vision by performing highly every day. The Executive Assistant provides seamless administrative support to the senior leadership team and serves as liaison to the Board of Directors. The position reports to the Vice President of Mission Advancement and is located in Plymouth, Massachusetts.

ESSENTIAL FUNCTIONS

 

  1. Leadership support: Provide seamless, high-level support to the President, Chief Operating & Financial Officer, and Vice President of Mission Advancement. Stay highly connected to senior leadership activities and take initiative to be proactive and anticipate needs. Keep senior leadership well informed of and prepared for upcoming commitments and responsibilities. Ensure appropriate follow-up. Manage senior leadership calendars and schedules in an efficient and professional manner.

 

  1. Meetings: Schedule senior leadership’s internal and external meetings, appointments, and calls. Coordinate meetings with major individual, foundation, and corporate donors. Make travel arrangements and organize itineraries and agendas. Conduct research and prepare briefing materials as needed to prepare senior leadership for meetings and travel.

 

  1. Communications: Initiate and draft correspondence, documents, presentations, and communications independently and on behalf of senior leadership. Manage contacts and maintain notes in donor database. Support planning for donor events.

 

  1. Governance: Function as liaison to and important contact person for the Board of Directors and Board Committees. Schedule meetings, organize agendas, distribute materials, and coordinate logistics. Take minutes at Board of Directors meetings and prepare summaries of Board Committee meetings.

 

  1. Office administration: Organize and maintain meticulous files. Copy, file, mail, and distribute materials. Prepare materials for senior leadership signature and review paperwork for completeness and accuracy. Maintain stationary supplies for correspondence. Handle expense reports and receipts.

 

  1. Operations: Maintain general knowledge of the organization’s operations, policies, and procedures. Recommend and implement improvements to operating practices and procedures.

 

  1. Other duties as assigned.

 

QUALIFICATIONS

 

  • Education: Bachelor’s degree or equivalent.

 

  • Experience: At least five years of related experience required with demonstrated track record of success.

 

  • Skills: Exceptional interpersonal skills and written and verbal communication. A thoughtful, gracious communicator with a calm and cheerful demeanor. Highest level of discretion, honesty, and professionalism. An energetic, hard-working, enthusiastic self-starter able to work independently and with multiple staff as part of a team. Must thrive in a challenging, fast-paced environment. Ability to multitask and flexibly balance shifting priorities. Excellent organizational skills and attention to detail. Proven reliability in meeting deadlines. A resourceful problem-solver with good judgement and strong decision-making abilities. Ability to provide intuitive and proactive support. Attentive and responsive. Proficient in the suite of Microsoft Office products and experience with relational databases.
